Database & Prospect Manager

The Database & Prospect Manager provides functions critical to the overall success of the Archmere Academy Advancement team.  This position will be chiefly responsible for not only the health and integrity of the Raiser’s Edge database, but also the proactive research and identification of key constituents for the Headmaster and Director of Institutional Advancement. 

The Database & Prospect Manager reports to the Director of Institutional Advancement and works collaboratively with the entire Advancement team.

Responsibilities include, but are not limited to:

Database Management

  • Accurate entry/recording of gifts. 
  • Multi-year pledge management, reporting, and follow-up. 
  • Processing credit card transactions and electronic transfers.
  • Serve as point person for Finance office reconciliation.
  • Appropriate and timely acknowledgement of gifts.
  • Maintain and update biographical and demographic information.
  • Pull lists for mailings, event invitations, and donor visits.
  • Work with the Director of Institutional Advancement to create and execute database policies and best practices.

Prospect Management

  • Manage the major gifts pipeline and update moves management with input from Director of Institutional Advancement & Headmaster.
  • Update donor records with visit notes and next steps.
  • Research prospects in advance of donor visits.
  • Create donor briefings in advance of donor visits.


  • Bachelor’s Degree preferred
  • 3-5 years of direct Raiser’s Edge experience.
  • Knowledge of fundraising principles and best practices.
  • Experience with donor research tools such as Wealth Engine.
  • Excellent written and oral communication skills.
  • Microsoft Office suite expertise.
  • Detail oriented and data driven self-starter.
